Note: The Xact link for ACT! and QuickBooks (UK) should be compatible with the Enterprise version of QuickBooks although this is yet to be tested.

XACT link for Quickbooks

The Xact Link for ACT! & QuickBooks is an application which allows ACT! users to connect to selected QuickBooks accounting products; in doing so it provides ACT! users with the ability to view QuickBooks customer information, and update and enter customer data to QuickBooks - all from within ACT!.

The link operates as a tab within the Contact detail view within ACT!. There is also a menu item provided within the Tools menu.

Additional Feature options

User Access Control
User Access Control is a feature that enables administrators and managers to determine which functions of the accounting link are available to each user. You can choose from a number of pre-set profiles or create a custom setting for each user. For more information on Access Control please consult your User Manual.

Item Sales History
Need a quick overview of what your customer has purchased without having to open ALL their past invoices?

Item sales history is a new tab in the Customer view which shows you all of the products that you have sold that customer, the total quantity sold and the total value. You can also filter the results to display items purchased in the past week, month, year or any custom date range.

Do you have customers that almost always buy the same product(s)?
From the Item Sales history tab you can easily create a new estimate, order, receipt or invoice based on past sales by selecting the relevant products from the list and clicking on the "Create" button. This will open a new sales document and automatically enter the selected products - all you have to do is enter the quantity.

Want to segment your customers based on item sales or sales activity?
Check out the QB Sales Activity and QB Item Sales History reports. Both of these reports can be filtered by date range, and converted into an ACT! lookup or exported to CSV. For more information and useful examples on all the available reports read our QuickBooks Link Reporting Overview.

Establish a connection between your ACT! contacts and QuickBooks customers
In the first instance it is wise to perform all of the bulk linking processes...

  • If you have customers in QuickBooks that do not exist in ACT!
    Use the Import Wizard to create ACT! contacts from QuickBooks customers. Once complete, the import wizard will then create a link between the corresponding ACT! and QuickBooks records.
  • If you have records in ACT! that you want to move to QuickBooks
    Use the Export Wizard to export ACT! contacts to QuickBooks as customers. Once complete, the import wizard will then create a link between the corresponging ACT! and QuickBooks records.
  • If you have customers that are in both ACT! and QuickBooks
    Use the auto link wizard to create a link between the corresponding ACT! and QuickBooks customers.

In day-to-day use of the link you will need to create additional one-off connections. Due to the design of this product it is suggested that all contacts are added to ACT! in the first instance...

  • If the customer already exists in QuickBooks
    Link the contact to the estisting record (Note: you can also link ACT! contacts to existing vendor records).
  • If the customer does not exist in QuickBooks
    Choose the option to create a new QuickBooks customer from the ACT! contact record.

The Xact Link for ACT! and QuickBooks - Lite
After the 30 day trial period (unless a product key is entered) the link reverts to The Xact Link for ACT! and QuickBooks reverts to the Lite version The Lite version provides users with read-only access to QuickBooks accounting data from within ACT!

The features available in the Lite version include:

  • Create new QuickBooks records from ACT! records
  • View account information, sales documents and aged receivables
  • Run the customer list and stock on hand reports

Stock Monitoring
Ever created an invoice only to realise that you don't have the products in stock?

With our new stock monitoring feature you can quickly analyze inventory levels and set alarms to notify you when an item is running low. When an alarm is activated you have the option to disable stock monitoring on this item, schedule an ACT! activity, re-set the alarm to remind you later, or ignore the alarm.

To make things even easier, items are highlighted in a different colour depending on whether they have reached the re-order point, reached a quantity of zero and have been re-ordered.

(Note: To avoid annoying everyone that uses the QuickBooks link, stock monitoring alarms are applied on a user-by-user basis.)

Don't want staff monitoring stock? No worries - we've added the stock monitoring feature to the User Access Control panel.
